Job Description

The Client Service Associate (CSA) role, reporting to the Sr. Operations Manager, is responsible for supporting client relationships and ensuring seamless day-to-day service. This individual will serve as a key liaison between clients, financial advisors, portfolio managers, and internal teams. The CSA will manage client onboarding, respond to service requests, maintain accurate records, and ensure that clients experience the highest level of service and professionalism. In addition, the CSA may be required to assist with order entry for some portfolio managers.

Key Responsibilities

-Serve as the primary point of contact for client service inquiries, requests, and account maintenance.

-Support onboarding of new clients, including account setup, documentation, and coordination with custodians.

-Process transactions such as account transfers, wires, contributions, distributions, tax loss harvesting, and beneficiary updates.

-Prepare and maintain client reports, performance summaries, and meeting materials.

-Assist advisors and portfolio managers with client communication.

-Monitor client accounts for accuracy, compliance, and timely resolution of issues.

-Ensure adherence to firm policies, regulatory requirements, and industry best practices.

-Build and maintain strong client relationships by delivering prompt, accurate, and thoughtful service.

-Collaborate with internal teams (Sales, Operations, Compliance, Investment management) to ensure smooth client experience.

-Assist Portfolio Managers with Order Entry

Key attributes & Experience

-Bachelor’s degree in finance, business, economics, or related field preferred.

-3+ years of client service or operations experience in asset management, wealth management, or financial services.

-Strong understanding of investment products, financial markets, and account operations.

-Exceptional communication and interpersonal skills.

-Highly organized with strong attention to detail and problem-solving abilities.

-Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); familiarity with CRM systems a plus (i.e. SalesForce)

-Ability to manage multiple priorities in a fast-paced, team-oriented environment.

-FINRA Series 7 and/or 63 (or willingness to obtain) preferred.

-Demonstrated ability to be effective in a fast-paced, changing environment, including multi-tasking and willingness to accept critical feedback and improve development areas.
